You may withdraw consent at any time; withdrawal does not affect prior lawful processing.
3. How we share information
We do not sell or license your personal information. We share it only as reasonably necessary to operate our services:
- Vendors/Service Providers: hosting, storage, payment processing (e.g., Stripe or equivalent), email delivery, support, analytics, and security.
- Prize Partners & Exhibitions: limited contact details and relevant assets to fulfil prizes, features, and exhibitions (e.g., Format, Fujifilm, festivals). Partners may use assets strictly to fulfil announced prize elements and features and will not send marketing communications without your separate consent.
- Legal/Compliance: where required by law, court order, or to protect our rights, users, or the public.
We require recipients to handle personal information in accordance with applicable law and appropriate confidentiality and security obligations.

Your information may be stored and processed in Australia and other countries where our vendors or partners operate (including, for example, the United States, Canada, the EU/UK, and Asia-Pacific). Where required by law, we use safeguards such as regulator-approved standard contractual clauses or equivalent transfer mechanisms. Different jurisdictions may have different privacy standards; we take reasonable steps to protect your information wherever it is processed.
5. Retention
We keep personal information only for as long as necessary for the purposes set out in this policy or as required by law.
- Entry files (non-selected): retained through judging plus 12 months, then securely deleted or de-identified.
- Selected results: files and related materials for winners, finalists, and honourable mentions may be retained for archival, gallery, and promotional uses consistent with our Terms and Conditions and this policy.
- Transactional/records: retained as required for financial, tax, and compliance purposes.
6. Security
We implement technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure. No system is entirely secure. If a data incident is likely to result in a risk to individuals’ rights or freedoms, we will notify affected individuals and relevant authorities without undue delay, consistent with applicable law.
