Terms and Conditions

1. Overview

The Shoot The Frame Awards (“Awards”) are operated by Tiny Design & Co. Pty Ltd, “Organiser”, trading as Shoot The Frame. By submitting an entry, you agree to these Terms and Conditions.

2. Eligibility

Open worldwide to amateur and professional photographers aged 18+. You warrant each submitted work is your original creation and that you have all rights and permissions required to enter and to grant the licence in Section 5. Employees, contractors, judges, prize-partner staff, and their immediate families are ineligible.

3. Entry Fees & Categories

One Frame (single photographic portrait). Each image is judged independently.
Fees: 1 Photo USD $17; 3 Photos USD $27; 7 Photos USD $37.

Photo Essay (series of up to 15 portraits judged as one entry).
Fee: Up to 15 Photos USD $49.

Multiple entries permitted. Entry fees are non-refundable except as stated in Section 9.

4. Key Dates (AEDT)

Submissions open: 14 November 2025, 12:00 am AEDT
Submission deadline: 31 December 2025, 11:59 pm AEDT
Winners announced: 1 February 2026 (AEDT)

Cut-off and timekeeping are enforced by the Organiser’s systems (“server time”).

5. Copyright & Licence

You retain full copyright. By entering, you grant the Organiser a perpetual, non-exclusive, royalty-free, worldwide licence to use, reproduce, edit purely for format/size, publish, and display submitted images solely to administer the Awards, announce and showcase results (winners, finalists, honourable mentions), maintain a historical archive, and promote the Awards. Images will not be sold or relicensed to third parties. Credit will be given where reasonably practicable. This licence is without prejudice to any applicable rights to erasure or objection under data laws (see Section 11).

6. Judging

All judging is anonymous and conducted by an independent panel appointed by the Organiser. Prize partners may be invited to participate on the panel for relevant categories. Entries are assessed on beauty, power, originality, technical skill, and emotional impact. The Awards are skill-based; chance plays no role. The panel’s decision is final and no correspondence will be entered into. Judges must recuse themselves where conflicts exist.

7. Prizes

Prizes are listed in Appendix A – Prize Schedule and may include cash awards, products, exhibitions, publications, services, or vouchers. Prizes are non-transferable and not exchangeable for cash unless expressly stated. If a specific prize element becomes unavailable, the Organiser may substitute an item of equivalent value/utility. Prizes are intended to be fulfilled in February 2026.

Winners/finalists may be asked (but are not required) to undertake reasonable steps to assist prize fulfilment (e.g., confirming postal details, setting up partner accounts, providing short statements, captions, or bios). Any Fujifilm content-capture is optional/best-efforts and, if supplied, may be featured with credit (see 7B).

7A. Notifications & Timelines

Winners and finalists will be notified by email using the address supplied at entry. Acknowledge promptly and complete reasonable claim steps within a reasonable period after notification (the Organiser may specify timeframes in the notification; if none are specified, 7–14 days will be considered reasonable). If a winner/finalist fails to respond or to complete claim steps within the specified period, the Organiser may, at its discretion, select an alternate or treat the prize as forfeited.

7B. Partner Publications & Usage

Some prize elements are delivered by partners (e.g., Format features, Fujifilm acknowledgements, festival exhibitions). Winners/finalists consent to the Organiser and relevant partners publishing their name, country, supplied headshot/bio (if provided), artist statement, and the winning image(s) solely to announce results and fulfil prize elements, with credit where reasonably possible.

  • Format editorial discretion: Features on Format’s channels are at Format’s discretion and do not affect the outcome of the Awards.

  • Fujifilm content: Any optional content created by the Photo Essay winner with the Fujifilm kit may be shared by Fujifilm and the Organiser to acknowledge the award and prize outcome, with credit. No resale/licensing of images is granted.

7C. Shipping, Duties & Costs

The Organiser (or partner) will cover shipping costs of physical prizes to a single address nominated by the winner. The Organiser will also cover any reasonable taxes/duties associated with accepting the prize, subject to recipient cooperation with customs/clearance processes.

7D. Withholding a Partner Prize

If a partner reasonably determines that no suitable candidate exists for its specific prize element, that element may be withheld without affecting the Awards themselves or other prize elements.

8. Prohibited Content; Disqualification

Entries will be disqualified if they:

  • are AI-generated (generative images);

  • infringe third-party rights or are plagiarised;

  • contain unlawful, exploitative, hateful, or otherwise inappropriate content; or

  • misrepresent authorship or breach these Terms.
    AI-assisted edits (e.g., denoise, upscale, colour correction) are acceptable where the underlying work is a genuine photographic capture. The Organiser may request reasonable evidence of authenticity.

9. Refunds

Entry fees are non-refundable, except in cases of: (a) duplicate charges in error; (b) proven technical failure of the Organiser’s systems preventing completion of a paid submission; or (c) any remedy required under the Australian Consumer Law. If the Organiser cancels the Awards (see Section 14), entry fees will be refunded.

10. Releases; Responsibility

Where an image depicts identifiable persons or private property, you are responsible for obtaining any model/property releases required by law for the uses in Section 5 and Appendix A, and you warrant that such permissions exist and can be produced on reasonable request.

11. Privacy & Data Protection

Personal data collected includes name, email address, IP address, billing data, and image metadata. Data is used to administer the Awards, process payments, communicate results, fulfil prizes, and maintain an archival record of results. See our Privacy Policy: https://shoottheframe.com/privacy/
