- Payment and transaction information. Payments are processed by third-party payment providers and we do not store full payment card numbers.
- Competition entry information, including submitted photographs, Photo Essays and associated metadata such as EXIF data.
- Information supplied with an entry, including titles, captions, statements, biographies and photographer headshots where requested.
- Communications you send to us, including enquiries and support requests.

Children and minors
People under 18 may enter Shoot The Frame with the permission of a parent or guardian.

- Publish results: announce and showcase Winners, Finalists and Honourable Mentions, and maintain historical archives and galleries.
- Fulfil prizes: provide relevant information to prize partners where necessary to deliver a prize or associated opportunity.
- Provide support: respond to enquiries and send important service communications.
- Operate and improve our services: analyse website usage, troubleshoot issues, improve functionality and protect the integrity of the awards.
- Prevent misuse: detect fraud, abuse, security incidents or breaches of our Terms and Conditions.
- Meet legal obligations: maintain records and comply with applicable legal, tax and regulatory requirements.
- Marketing: send Shoot The Frame news, award announcements and other updates where you have subscribed or otherwise consented to receive them.

We do not sell your personal information.
We may disclose information where reasonably necessary to operate Shoot The Frame, including to:

- Judges: entry materials necessary to conduct judging. Entries are presented anonymously where stated in the competition rules.
- Prize partners and exhibition partners: limited contact information and relevant materials required to fulfil announced prizes, features, exhibitions or opportunities.
- Professional advisers: including accountants, lawyers or other advisers where reasonably necessary.
- Authorities or other parties where required by law: including where disclosure is required by law, court order or necessary to establish, exercise or defend legal rights.
Prize and exhibition partners may only use information supplied by us for the relevant prize, feature or opportunity unless you separately agree to another use, such as receiving their marketing communications.
We take reasonable steps to ensure service providers handling personal information provide appropriate privacy and security protections.
4. International transfers
Shoot The Frame operates internationally and uses service providers that may process information in countries outside Australia.
As a result, personal information may be stored or processed in Australia and in other countries in which our service providers or prize partners operate, which may include the United States, Canada, countries within the European Economic Area, the United Kingdom and the Asia-Pacific region.
Where applicable law requires additional safeguards for international transfers, we will take appropriate measures. These may include contractual protections such as approved Standard Contractual Clauses or other recognised transfer mechanisms.

5. Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, or where required by law.
- Non-selected competition entries: entry files may be retained for the judging period and for up to 12 months afterwards, after which they may be deleted or de-identified unless there is a legitimate reason to retain them longer.
- Selected entries: photographs, Photo Essays and related materials associated with Winners, Finalists and Honourable Mentions may be retained indefinitely as part of Shoot The Frame’s historical archive, galleries and promotional record, consistent with our Terms and Conditions.
- Financial and transaction records: may be retained for the period required by applicable accounting, taxation or other legal obligations.
- Marketing information: may be retained until you unsubscribe or otherwise withdraw your consent, subject to any records we need to retain to honour that request.
6. Security
We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, interference, alteration or disclosure.
However, no online service or information storage system can be guaranteed to be completely secure.
If we become aware of a data breach, we will assess and respond to it in accordance with applicable law, including any applicable notification requirements to affected individuals or regulators.

Marketing
You may unsubscribe from marketing emails at any time using the unsubscribe link included in those communications.
We may still send essential administrative or service communications relating to an active entry, payment, prize or other interaction with Shoot The Frame.
Australia
Subject to applicable law, you may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
EU/EEA and UK
